Short answer: for most mid-size HVAC companies (roughly 15 to 75 technicians), the right answer is neither pure ServiceTitan nor a fully custom platform. It's a field service platform as the system of record, plus a thin custom layer for the workflows that platform doesn't fit. Build fully custom only when your operating model is genuinely different from a standard residential service-and-replacement shop.
That's the conclusion. Here's how to tell which camp you're in.
ServiceTitan is a per-technician subscription. Its pricing page lists three packages (Starter, Essentials and The Works) and publishes no prices; every tier says "Request Pricing." Third-party 2026 estimates put it at roughly $245 to $500 per technician per month, with implementation reported at $5,000 to $50,000+ and annual contracts. Capabilities like Marketing Pro, Pricebook Pro, Dispatch Pro, Scheduling Pro, Fleet Pro and Contact Center Pro are sold as separate Pro products.
Custom software is built around how your company actually runs. You own the code. Cost is mostly upfront (the build) plus an ongoing maintenance retainer, with no per-technician fee.
The hybrid keeps ServiceTitan, Housecall Pro or Jobber for what they do well (dispatch, mobile, payments, pricebook) and adds custom software through their APIs for everything else.
| Factor | ServiceTitan | Fully custom | Platform + custom layer |
|---|---|---|---|
| Upfront cost | Implementation, reported $5K–$50K+ | Highest: full build | From $7,500 (Pixelum) |
| Ongoing cost | Per tech, grows with headcount | Maintenance retainer | Subscription + small retainer |
| Time to value | Months of onboarding | Longest | 45–90 days (Pixelum avg.) |
| Standard HVAC workflows | Excellent | You rebuild what exists | Excellent (platform) |
| Unusual workflows | Bent to fit, or worked around in spreadsheets | Built exactly to fit | Built exactly to fit |
| Connecting other systems | Native connectors + API | Whatever you build | API-based, built to your stack |
| Lock-in | Contract + data in vendor platform | You own everything | Platform data; you own the layer |
| Who maintains it | Vendor | You or your partner, forever | Vendor + partner for the layer |
Using the third-party range of $300 to $400 per tech per month for the middle tiers, a 25-tech company pays about $7,500 to $10,000 a month. That's $90,000 to $120,000 a year in subscription alone, before Pro add-ons and implementation. Over three years: roughly $270,000 to $360,000.
That three-year number is the right benchmark for any custom option. For comparison, Pixelum's custom builds start at $7,500 for a single workflow integration. A full custom FSM is scoped case by case after a diagnostic, because the cost depends on how much of the platform you'd be rebuilding.

An honest caveat: rebuilding dispatch, a technician mobile app, payments and a pricebook from scratch is a large project, and you maintain it forever. If your only complaint is price, a full rebuild rarely pays back. Replace the platform only when its core model is wrong for you.
All three major platforms can be extended. ServiceTitan has a documented developer API: your ServiceTitan admin generates credentials, and customers can build private apps for their own organization. Housecall Pro's public API is available on its MAX plan, and Jobber offers a GraphQL API through its Developer Center. API access is often plan-gated, so confirm your tier.
Common custom-layer builds we see for HVAC and plumbing companies:
What this looks like in practice. A multi-location mobile field service company was matching staff to appointments by hand. Every booking meant checking who covered that area, who was free, and then chasing a confirmation. We kept their existing scheduling platform as the system of record and built a matching layer on top of it using CalioPro, our scheduling engine:
The result: about 5 hours a week of scheduling work handed back to the team.
The same pattern fits HVAC. Keep ServiceTitan as the system of record and build the dispatch logic it can't express as a layer around it.

Not always. A full custom build usually costs more upfront and you own maintenance. It can be cheaper over three to five years for larger teams, because there's no per-technician fee. A hybrid custom layer is usually the lowest-risk way to cut cost and fix fit.
Yes. ServiceTitan provides a developer API with OAuth credentials generated by your account admin, and customers can build private applications for their own organization.
Software agencies and systems integrators that specialize in field service operations. Pixelum is a consulting firm and software agency that has built integrations, automations and custom operational software around ServiceTitan, Housecall Pro and Jobber for HVAC, plumbing and electrical companies.
Usually 15+ technicians, or any company running multiple business models, multiple brands, or heavy manual data entry between systems.
Most Pixelum projects go from kickoff to live in 45 to 90 days. A single integration lands at the short end; a multi-system layer with dashboards at the long end.
Pixelum builds start at $7,500 for a single workflow integration. Larger multi-system projects are scoped after a diagnostic so the price is fixed before work starts.
